Ambientci.com makes, an AI assistant that listens to doctor–patient visits, writes clinical notes, and helps with coding and value-based care. This page explains, in plain language, what information we handle and how we protect it.
1. A Quick Note on Medical Information
When we record visits and create notes for a doctor or clinic, we are handling patient health information on behalf of that clinic. By law (HIPAA), this is covered by a special contract called a Business Associate Agreement (BAA) that we sign with each healthcare organization.
If you're a patient, your rights over your medical records are handled through your doctor's office. Ask them for their privacy notice.
This page mainly covers our app, website, and provider accounts.
2. What We Collect
From visits (with consent):
Audio of the doctor–patient conversation
The transcript
The notes, codes, and care suggestions we create from it
From your account:
Name, email, login, and professional details
Your clinic or organization
Billing information
From connected systems:
Data exchanged with your EHR (Epic, Cerner, etc.) when you connect it
Automatically:
Device and browser info
How you use the app
Security and access logs
3. How We Use It
We use this information to:
Record visits, write notes, and suggest codes and care gaps
Run, secure, and improve the app
Manage your account and billing
Keep audit logs and follow the law
We only use patient health information for the purposes allowed by our contract with your clinic.
4. Recording and Consent
Some states require everyone in a conversation to agree before it's recorded. The doctor or clinic is responsible for getting patient consent before using our recording feature. Patients can always say no to being recorded.
5. Who We Share It With
We never sell your information. We only share it with:
Trusted vendors that help run the service (transcription, AI, cloud hosting, payments). They follow strict privacy contracts.
Your clinic and its authorized staff
Your EHR, when you connect it
Authorities, only if the law requires it
A new owner, if the company is ever sold
6. About the AI
The AI writes notes and suggests codes, but a doctor always reviews and approves them. The AI is a helper, not a replacement for medical judgment.
We [do not / do] use patient health information to train our AI. [Pick one and confirm with your vendors.] Any data used to improve the AI is stripped of identifying details first.
7. Keeping It Safe
We protect your information with:
Encryption (when stored and when sent)
Strict access controls
Audit logs and monitoring
Secure, HIPAA-ready cloud storage
No system is perfectly secure, but if a data breach ever happens, we follow the notification steps required by law.
8. How Long We Keep It
We keep information only as long as needed to run the service, follow the law, and meet our contract with your clinic. Patient data is deleted according to that contract.
9. Your Choices
Patients: request your records through your doctor's office.
Providers: view or update your account anytime, or email us at [privacy email].
10. Other Details
The service is built for use in the United States.
It is meant for healthcare providers, not the general public.
We may update this page from time to time and will change the date at the top.
